Troop Committee Volunteers

 

Boy Scout Troop 93, like most other effective youth organizations, relies on active adult volunteer support.  This document describes the primary duties of volunteers who agree to serve on the troop committee for Troop 93.  It is based on national Scouting training materials as modified by practices that have evolved in Troop 93's troop committee.

 

The troop committee is responsible for ensuring that a quality Scouting program is available for all boys in Troop 93, including:

·        recruiting and training leaders

·        assuring adequate financial support

·        acquiring and maintaining equipment

·        maintaining relations with the chartering organization

·        working with the Scoutmaster on handling problems pertaining to individual Scouts

·        advising the Scoutmaster on policies relating to Boy Scouting

·        supporting Scout advancement by serving on boards of review and courts of honor.

 

The job descriptions listed below are not intended to be an exhaustive, all-inclusive inventory of every adult task associated with carrying out Troop 93's management.  But they do include the principle duties necessary to keep the troop running smoothly.  Some jobs are one-time annual assignments, in contrast to ongoing assignments.  Both kinds of volunteer opportunities are included in this list.

 

In all cases, troop committee members are expected to be available to attend most of the monthly troop committee meetings, usually held the last Sunday of the month at South Gate United Methodist Church.  If members cannot attend, they should submit monthly reports to the chairman.  Troop committee members also are expected to participate in appropriate new leader and job specific training.

 

Committee Chair

·        organizes the committee and makes sure all functions are delegated, coordinated and completed

·        maintains contact with chartering organization

·        prepares agendas and presides at monthly committee meetings and any other special meetings as needed

·        works with Scoutmaster to plan periodic meetings with parents

·        ensures troop representation at monthly roundtables

·        ensures troop participation in annual Friends of Scouting campaign

 

Charter Organization Representative

 

Treasurer

·        handles all troop funds, including paying all bills, maintaining savings and checking accounts, and supervising any fund-raising projects, as authorized by the committee

·        presents an annual budget for committee approval

 

Secretary

·        keeps the minutes of every meeting, distributes copies of the minutes and sends out meeting notices

·        maintains troop roster, troop handbook, and handout for prospective Scout parents

·        works with troop scribe

 

Training Coordinator

·        ensures that troop leaders and committee members have opportunities for training, including BSA Youth Protection training

·        maintains inventory of up-to-date training materials

·        works with Scoutmaster to plan and conduct junior leadership training for Scouts

 

Service Projects Chair

·        coordinates community service projects, in conjunction with Scoutmaster and Patrol Leader Council

·        maintains records of Scout attendance at service activities

·        prepares annual community service report for quality unit application

 

Membership Chair

·        coordinates troop recruiting efforts by maintaining contact with Cub Scout packs

·        works with Cub Scout pack leadership to plan Webelos visits and crossover events

·        contacts inactive Scouts to encourage them to return to troop activities

 

Web Page Administrator

·        maintains the troop’s Web page

·        arranges for copies of announcements to be available for distribution at troop meetings


The following volunteer positions have frequent direct dealings with the members of Troop 93 and may be registered as either members of the troop committee or as assistant scoutmasters.

 

Outdoor Program Coordinator

·        coordinates planning for the troop’s outdoor program, including high adventure activities

 

Event Coordinator

·        handles logistics of arranging for permission slips, event sign-up, tour permits and other administrative tasks associated with troop activities

 

Equipment Manager

·        works with event coordinator, outdoor program coordinator and troop quartermaster to maintain needed equipment and supplies

 

Advancement Coordinator

·        maintains up-to-date records of Scout advancement data

·        assists with planning/conducting courts of honor

 

Life to Eagle Coordinator

·        advises Eagle Scout candidates on the process of applying for Eagle Scout rank, including distribution of Eagle Scout workbooks

·        advises Eagle Scout candidates on service projects

·        coordinates Eagle boards of review with District Advancement Committee

·        works with Eagle Scout families on court of honor planning, upon request

 

The above duties reflect on-going volunteer responsibilities.  Listed below are several one-time or periodic events and activities that provide opportunities for adults to participate without having day-to-day responsibility for troop management.  These volunteers need not be registered members of the troop committee.

 

Friends of Scouting Coordinator

·        works with troop committee chair to ensure troop-wide family participate in the annual Friends of Scouting drive

 

Scout Sunday Event Coordinator

·        works with the troop committee to plan and carry out Scout Sunday activities at the chartering organization

 

Popcorn Sales Chair

·        coordinates annual popcorn sales, in accord with district policies

 

Greenery Sales Chair

·        coordinates annual holiday greenery sales as fund-raising activity for Scouts’ camp accounts

 

Troop Specialty Wear Chair

·        handles orders for T-shirts and other Scout clothing items

 

Court of Honor Planning Coordinator

·        coordinates planning for thrice-yearly troop courts of honor

 

Recycling Coordinator

·        handles collection, crushing and sale of recycled aluminum cans, which augments the troop treasury
